NORMS FOR DISBURSEMENT OF GRANT FOR HOLDING SEMINARS
WORKSHOPS/CONFERENCES
1. Application for grant for seminars / workshops / conferences (henceforth to be called ‘grant’) shall be made on the prescribed application form addressed to President / Secretary.
2. Grant be made available on the condition that matching grant shall be offered by the host university/college.
3. Preference be given to the proposals of interdisciplinary nature.
4. Preference be given to those proposals which have not received grant from UGC/SICI/ any other organization.
5. Grant be made available for a maximum number of 4 days in the case of seminar/conference and 4 weeks in the case of a workshop.
6. The Seminar Committee constituted by EC will scrutinize the applications for grants and give its recommendations to the President.
7. No application for supplementary grant be entertained.
8. 50% of the grant be released before the commencement of the Seminar/ Workshop/ Conference while the other 50% be released after obtaining the details of the accounts.
9. The grant shall be utilized for the purpose of T.A., D.A., Hospitality, Honorarium to the Resource Persons and Contingency expenses.
10. An acknowledgement of the grant will be made prominently by the host in their information brochure.
11. The approved grant shall be utilized within the given financial year, otherwise it will lapse automatically.
12. The right to accept or reject any application rests wholly with EC, IACS.
13. IACS financial assistance will be maximum of Rs. 20,000/- for National/ Regional Seminars or Workshop and Rs. 30,000/- for International Seminar or Workshop.

SUPPORT PROGRAMME
(Matching Grant)
The Government of Canada is pleased to announce this programme to assist university libraries to strengthen their Canadian library holdings in order to support teaching and research in Canadian Studies.
Disciplines leading themselves most readily to what is termed Canadian Studies are the social sciences and the humanities, such as business studies, economics, law, international relations, history, politics, sociology, geography, arts, literature in English or French, linguistics, education, communications policy, media studies, planning, science policy, social administration, environmental studies, architecture, and other related fields. (Under this programme, materials on purely scientific subjects such as physics, chemistry, medicine, engineering, etc., which would not lead to a better knowledge and understanding of Canada per se are not eligible for support, nor are resource materials which focus exclusively on technological or methodological issues).
Eligibility to participate is based on an institution’s existing or expressed commitment to the inclusion of Canada-related courses and research in its programmes. University libraries/Canadian Studies programmes may take the initiative and submit a request for support or be invited to participate in this programme by the relevant Canadian Embassy or High Commission.
- The Government of Canada, through the Canadian Embassy or High Commission, will contribute up to $2,000 Cdn for library materials (books, scholarly journals, microforms) purchased by university libraries on a matching grant basis, in other words, the institution agrees to purchase Canadian for twice the amount of the grant.
- These funds will be available only for the purchase of library materials considered to be “Canadian” and which are deemed by the Canadian Embassy or High Commission to qualify as having specific bearing on the study of Canada and/or Canadian culture.
- On their own initiative or in response to an invitation to participate in the programme, universities libraries/Canadian Studies programmes will submit a request for support to the relevant Embassy or High Commission, along with the list of proposed Canadiana purchases.
- Upon determination that the proposed items meet the objectives of the programme, the Canadian Embassy or High Commission will recommend appropriate action to the programme administrators, the International Council for Canadian Studies, and, upon receipt of formal approval of a grant, will send the university a Grant Agreement which, when signed by the appropriate university official and returned, will enable the issuing of payment.
- Payment can be made the either one of the following methods: a) a cheque for the total amount of the grant issued by the International Council for Canadian Studies and transmitted to the recipient institution; or b) payment, up to the amount of the grant, by the International Council for Canadian Studies of invoices submitted directly by the Canadian supplier. Either way, placing orders with Canadian suppliers remains the recipient’s responsibility; only the payment method varies.
- When
the first method of payment is chosen, the recipient institution will provide
to the Canadian Embassy or High Commission copies of paid invoices covering
Canadian purchases for at least twice the amount of the grant; when the
second method is chose, the recipient institution will provide to the Canadian
Embassy or High Commission copies of paid invoices for Canadian purchases for
an amount at least equal to the grant which the International Council for
Canadian Studies will have spent on other Canadian purchases on its behalf approval
of any future library support grants is contingent upon the institution
providing evidence of Canadian matching grant purchase.

- Canadian suppliers will however ship orders directly to the grant recipient.
- The International Council for Canadian Studies will pay invoices only up to the amount of the grant: any” over expenditure” will be the responsibility of the grant recipient.

The Government of Canada, through the Canadian Embassy or High Commission, will purchase a limited number of books in the field of Canadian Studies and donate them to successful applicants. On their own initiative or in response to an invitation to participate in the programme, university libraries/Canadian studies programmes will submit a request to the Canadian Embassy or High Commission, in accordance with the following:
- Books requested should relate to Canadian Studies, be published in Canada, and be currently in print.
Note: Only “trade” books are offered under the programme; i.e., books obtainable from commercial suppliers. It is not possible to respond to requests for copies of articles, these, back issues of journals, annual reports, etc.
- Lists should contain 50-100 titles and be in order of priority. Longer lists will be given consideration taking into account funds available and degree of Canadian Studies activity at a particular institution.
Note: only one copy of a requested title can be provided; no multiple copies of text books are purchased for student use.
- Listings should include: author, title, publisher and date published. For case of ordering, English-language and French-language titles should be listed separately
- Upon determination that the proposed items meet the objectives of the programme, the Canadian Embassy or High Commission will recommend appropriate action to the International Academic Relations Division of the Department of Foreign Affairs and International Trade.
- Taking into consideration funds available and degree of Canadian Studies activity at requesting institutions, the International Academic Relations Division will proceed with the purchase and have the books shipped to the Canadian Embassy or High Commission, for onward transmission to the recipients.
- It is not always possible obtain all books requested. Some will be out of print, out of stock, etc. Because of the volume of books shipped under the programme, it is not possible to chase-down individual titles. Delivery can take from four to six months.
- Lists may be submitted for consideration on a yearly basis.
